Purchasing
From invoice to payment
The payment file is included in the annual price – for every supplier invoice you’ve entered in Buchify.
- The details come from the payment partScan the invoice’s QR code and IBAN, reference, amount and currency are filled in straight away – in the document inbox too. Without a QR code you enter them in the “Payment” box; the check digits of IBAN and reference are verified.
- Tick what’s dueUnder Purchasing → “Pay suppliers”, open invoices are sorted by “due by”, with tick boxes. Choose the execution date and the account to debit, download – done.
- One file for your e-bankingThe file follows the Swiss Payment Standards (pain.001). You upload it to your e-banking and approve the payments there – as before, just without retyping.
- QR and RF referenceQR-bills with a QR reference, invoices with a Creditor Reference (RF) or with a message – the reference goes along in structured form, so the supplier can match your payment.
- CHF, EUR, SEPA and abroadDomestic in francs or euros, euros into the SEPA area, and payments to accounts abroad with the bank’s BIC. The file sorts that out by itself.
- What won’t work is shown with the reasonIf the IBAN is missing, a QR reference doesn’t belong to the IBAN or an account abroad has no BIC, Buchify tells you beforehand – not the bank afterwards.
- Nothing paid twiceAnything already in a file is shown with its date and is no longer preselected. The same selection gives the same identifier (message ID) – so the bank can spot a duplicate submission.
- Posted with the bank statementThe file posts nothing. Once the payment appears in your next camt statement, you match the debit to the invoice – each payment is listed there individually.
- Salaries to cross-border commutersWith the payroll add-on, salaries paid to an account abroad go into the salary payment file too – as confidential as all the others, with the bank’s BIC. More about payroll →
- Permissions per personOnly someone who can see supplier invoices and record payments can create the file. The audit log shows who created which file and when.
How a payment run works
- EnterScan the invoice’s QR code or enter the details.
- TickUnder “Pay suppliers”, choose the invoices that are due.
- UploadUpload the file to your e-banking and approve it there.
- MatchIn your next bank statement, match the debit to the invoice.
What the payment file doesn’t do
Better said up front than discovered later.
Deliberately not built
And it stays that way.
- No connection to your bank. Buchify sends nothing to the bank and knows no e-banking password. Approval happens in your e-banking – with your own login.
Not built yet
What’s still missing.
- Currency conversion. A euro invoice is posted in francs, as you enter it; the file contains the euro amount from the payment part.
- Currencies other than CHF and EUR. Invoices in dollars or pounds you still pay directly in your e-banking.
Questions about paying
Can I pay suppliers from Buchify?
Yes, with a payment file: you tick your open supplier invoices, Buchify creates the file (pain.001) with IBAN, QR or RF reference and amount, and you upload it to your e-banking and approve the payments there. Domestic in CHF and EUR, euros into the SEPA area, and accounts abroad too. Buchify still doesn’t connect to your bank. More about paying →
Does Buchify need access to my e-banking?
No. Buchify reads the camt file you download from your e-banking. It doesn’t connect to any bank and never knows a bank password. You upload the payment file for suppliers and salaries to your e-banking yourself.
Can I just take a look?
Yes – the demo is a real sample company with customers, invoices, reminders and a bank statement. You can touch everything; it’s reset every night. No sign-up, no credit card.
See the payment run in the demo.
The sample company has two open supplier invoices – one with a QR reference, one with an RF reference. Tick, look at the file; nothing goes to a bank.
