Sales
From enquiry to invoice
For businesses that write quotes – without a second program and without keeping contacts twice.
- The pipelineEnquiry, quote, order – each column shows the open opportunities with amount and owner. Below, what was won or lost in the last 90 days.
- The essentials per opportunityCustomer, estimated amount, source, owner and stage. An opportunity is only lost with a reason – so later you can see what held it back.
- From opportunity to quote“Create quote” makes a quote for the customer, linked to the opportunity. An existing quote you link right on the document.
- Moves on by itselfOnce the quote is accepted or becomes an order, the opportunity moves to “Order”; once the invoice is finalised, to “Won”. It never moves back by itself.
- History per contactNote, call, email, meeting – with the date and who. On the contact you see the whole story, including their opportunities.
- Follow-upsSet a date and an owner: on the day the follow-up appears on the dashboard and an email reminds you – or a notification in the Buchify app, if you’ve switched it on there.
- No customer name on the lock screenEmail and notification only say that something is due. Who it concerns you see after signing in.
- “Only mine”One click, and the pipeline shows only the opportunities you own.
- Permissions per personWho sees the opportunities you decide per person with a tick box; “Read-only” just looks. The fiduciary role doesn’t see sales, and the audit log never contains the text of a note.
- Included in the annual priceNo add-on and no extra charge per user.
How you work with it
- Enter the enquiryUnder Sales → “Opportunities” or straight from the contact.
- Create the quoteFrom the opportunity – customer and amount come along.
- Follow upSet a follow-up; on the day the reminder arrives.
- WonThe invoice is finalised, the opportunity won.
What the CRM doesn’t do
Buchify is accounting software with a small CRM – not a sales system.
Deliberately not built
And it stays that way.
- No mass emails and no newsletter. Buchify only sends your customers documents, payment reminders and receipts.
- No second contact list. Opportunities hang on the same contacts as quotes and invoices.
Not built yet
What’s still missing.
- Emails from your mailbox. You add an email to a customer to the history yourself – Buchify doesn’t read your mailbox.
- Follow-ups in your calendar. They appear on the dashboard, in the email and in the app – not yet in your calendar.
Questions about opportunities
Does Buchify have a CRM?
A small one, included in the annual price: opportunities from enquiry via quote to invoice, a history per contact with notes, calls and meetings, and follow-ups with a reminder by email and in the app. The opportunity follows the quote by itself. More about opportunities →
Can I decide what an employee sees?
Yes. On top of the role, you tick per person what they see – for example only time tracking, only the till, or invoices and contacts. Only the owner and the fiduciary see salaries; anyone linked to their login in payroll sees only their own under “My area”.
Can I just take a look?
Yes – the demo is a real sample company with customers, invoices, reminders and a bank statement. You can touch everything; it’s reset every night. No sign-up, no credit card.
Try the pipeline in the demo.
The sample company has five opportunities and a follow-up due today – move them, follow up, turn one into a quote.
