General Terms and Conditions

For the use of Buchify – app.buchify.ch

1. Provider and scope

These terms apply to all contracts for the use of Buchify between BE United Group, Bosnjak (owner Gabriel Bosnjak), Alte Aach 1, 8599 Salmsach (hereinafter “we”) and the customer (hereinafter “you”). Any deviating terms on your part only apply if we have agreed to them in writing.

Buchify is aimed at companies, sole proprietorships and the self-employed. It is not an offer for consumers within the meaning of the Swiss Federal Consumer Credit Act (CCA).

2. Services

We provide Buchify to you as software over the internet, with the following scope:

  • Customer and item master data, quotes, invoices with Swiss QR-bill, credit notes and recurring invoices, in German, French, Italian and English
  • Payment recording, payment reminders and multi-level dunning
  • Bank reconciliation via camt.053 and receipt inbox with phone upload
  • Double-entry bookkeeping with journal, balance sheet, income statement and year-end closing
  • VAT return with the items of the Swiss Federal Tax Administration (SFTA) form (effective or net tax rate method)
  • Access for your fiduciary with separate permissions, and multiple client companies under one login
  • Export of all data as PDF and CSV
  • payroll and receipt reading (the “Receipt reading” add-on), for an additional charge (section 3)

What isn’t finished yet, we say here and not in our advertising. Buchify grows in stages. Not yet included are the electronic filing of the VAT return (eCH-0217), the transmission of payroll reports to compensation offices and insurers (Swissdec/ELM), foreign currencies and payment files (pain.001). The current status is shown in the section “What Buchify doesn’t do” at buchify.ch/funktionen; it is kept up to date. A subscription includes all future expansion stages at no extra charge, but does not give rise to any claim to a particular date. This does not apply to the payroll and receipt reading add-ons.

3. Price, trial period and payment

Buchify is billed annually in advance. There are two tiers:

CHF 149.– per year for customers with an active website or shop subscription with Pixify-AI. Buchify is then a separate annual subscription alongside the existing one, with its own anniversary date from the first charge. If the accounting software is ordered together with an online shop (bundle), a discount of 20 % on shop and accounting applies in the first year; from the second year, the regular prices apply.
CHF 249.– per year for purchase on its own, without a subscription with Pixify-AI.

Payroll add-on. The price depends on the number of payslips in a month: 1 employee CHF 10.– · up to 5 CHF 25.– · up to 10 CHF 45.– · up to 25 CHF 90.– per month, in each case for a whole year in advance. A higher tier applies immediately, and the difference is charged pro rata until the end of the current contract year; a lower tier applies from the next renewal. More than 25 payslips per month on request.

Receipt reading add-on. The price depends on the number of receipts read in a calendar month: up to 25 CHF 5.– · up to 75 CHF 12.– · up to 200 CHF 25.– per month, in each case for a whole year in advance. Once that number is reached, no more receipts are read until the end of the month; documents can still be filed and recorded by hand, and nothing is charged afterwards. Tier changes as for payroll. More than 200 receipts per month on request. What is read is a proposal; nothing is posted without your confirmation (section 7).

Trial period. For purchase on its own and when adding Buchify to an existing subscription, the first 30 days are free of charge, with all features. For the trial period, a means of payment is stored with Stripe; the first charge is made on the day after the trial period ends, and the contract year begins on that day. If you cancel before then, you pay nothing.

All prices include value added tax. Ordering and payment run via the platform pixify-ai.ch and Stripe; the invoice is issued by the operator (Pixify, BE United Group) to the address given when ordering and sent by email, marked as paid, after the charge. If your subscription with Pixify-AI ends, Buchify switches to the price for purchase on its own from the next renewal; conversely, if you start a subscription with Pixify-AI, you switch to the lower price.

Existing customers keep the price agreed when they signed up. If we increase prices, we will notify you at least two months before the renewal; you can cancel up to the renewal date.

4. Term, renewal and cancellation

The contract runs for one year and is tacitly renewed for a further year each time, unless it is cancelled no later than one month before it expires. You can cancel online at pixify-ai.ch/kuendigen (order number and email) or informally by email to info@pixify.ch. During the trial period, cancellation takes effect at the end of the trial period; no costs are incurred.

Amounts already paid are not refunded pro rata if you cancel during the current contract year.

5. Access from Pixify-AI

If you have booked Buchify as an extension, you can reach it from your customer panel with the same login. Access is via a signed token that is valid for 60 seconds and can be used once. If Pixify-AI is unavailable, you can still log in directly to Buchify – your accounts do not depend on the availability of the website builder.

6. Your obligations

  • You keep your master data up to date – in particular company name, address, UID and IBAN or QR-IBAN. You are responsible for what appears on your invoices.
  • Before your first real document, you check that your own QR-IBAN has been entered. In a new setup, the test number from the SIX specification is entered there.
  • You keep your login details safe and do not pass them on. There is a separate login for your fiduciary – that is what it is for.
  • You do not use Buchify for unlawful purposes and do not send any unsolicited advertising through it.

7. No tax, accounting or legal advice

Buchify is a tool, not advice. Chart of accounts, VAT rates, form items, deadlines and templates have been implemented to the best of our knowledge, but do not replace a fiduciary, nor tax or legal advice.

You remain responsible for the accuracy and completeness of your bookkeeping, your tax returns and your VAT returns. This also applies where Buchify suggests or fills in something automatically. Check the result before you submit it.

8. Processing of data on your behalf

For the data you record in Buchify – your customers, documents, entries, bank statements – you are the controller. We process it solely on your behalf. This section constitutes a data processing agreement under Art. 9 FADP and Art. 28 GDPR.

  • Purpose and scope: provision and operation of the software. Nothing beyond that.
  • Bound by instructions: We only process this data to the extent required for operation or as instructed by you. If an authority requests information, we will inform you to the extent we are legally permitted to do so.
  • Confidentiality: All persons with access are bound to confidentiality. We do not look at your accounts or analyse them. To provide support in individual cases, we only access them at your express request.
  • Sub-processors: Hostinger (hosting and database, servers in Frankfurt am Main) and Stripe (payment processing); with the “Receipt reading” add-on, also Anthropic (USA) for reading receipts, on the basis of standard contractual clauses. We will only use others if we notify you in advance; you can object within 30 days and in that case have an extraordinary right to terminate the contract.
  • Security: encrypted transmission, passwords only as a hash, document files outside the web directory, daily backup, immutable audit log of finalised documents.
  • Data subject rights: We forward requests from data subjects to you and do not answer them ourselves.
  • Return and deletion: After the contract ends, you export your data yourself. We delete it at your request as soon as no statutory retention obligation stands in the way.

9. Availability and support

We strive for high availability but do not owe any specific availability rate. Where possible, we announce maintenance work in advance and schedule it during off-peak hours. You can get support by email to info@pixify.ch, usually within one working day.

10. Export and end of the contract

You can export your documents, entries and master data as PDF and CSV at any time – during the contract and afterwards. After cancellation, we switch your access to read-only mode instead of closing it: the ten-year retention obligation under Art. 958f of the Swiss Code of Obligations (CO) applies to you, and we will not stand in its way. There is no lock that separates you from your own documents.

11. Liability

We are liable for damage caused by gross negligence and intent. Liability for slight negligence is excluded to the extent permitted by law. In particular, we are not liable for lost profit, for consequential damage or for damage resulting from incorrect information that you have entered yourself.

We are not liable for the tax or legal consequences of your bookkeeping – see section 7. Nor are we liable for damage resulting from a loss of your login details, unless it is attributable to us.

We back up daily. This backup serves to restore data after a technical failure and does not replace your own data backup. Export your data at sensible intervals.

12. Data protection

Our privacy policy applies. It forms an integral part of these terms.

13. Changes to these terms

We may amend these terms. We will notify you of changes by email at least one month before they take effect. If you do not object by the time they take effect, they are deemed accepted; we will point this out in the notification. In the case of a change to your disadvantage, you can cancel with effect from that date, up until the change takes effect.

14. Final provisions

These terms are governed exclusively by Swiss law, excluding the United Nations Convention on Contracts for the International Sale of Goods (CISG). The place of jurisdiction is the registered office of BE United Group, Bosnjak, as entered in the commercial register.

Should any provision be invalid, the remaining provisions remain valid. The invalid provision shall be replaced by one that comes closest to its economic purpose.
